01 Scope
This policy applies to services provided on satsumacreative.tw and its subdomains. For external sites linked from this website, your activity there is governed by their respective privacy policies, and we are not responsible for them.
02 Data we collect
When you fill out and submit the contact form, we collect the following information that you actively provide:
- Name
- Company name (optional)
- Phone (optional)
- Project type, budget, timeline, and requirements
In addition, to support basic operation and prevent abuse, our server automatically logs:
- Visitor IP address
- Browser User-Agent string
- Request timestamp
This websitedoes not use cookies for tracking, nor does it embed third-party advertising or behavioral analytics tools.
03 Purpose and method of use
Contact form submissions are routed through our internal Telegram notification system to the designated contact's inbox, solely for the purpose of replying to your inquiry. Except for this purpose, legal requirements, or your prior consent, we will not share your personal data with third parties.
03.5 AI assistant Xiao-Ai conversation data
This website provides a real-time chat feature called "AI assistant Xiao-Ai" in the bottom-right corner. When you interact with us through this chat window:
- The name and contact method you provide (either email or phone)
- The full content, timestamp, and visitor IP of every turn of your conversation with Xiao-Ai
- The responses Xiao-Ai generates from its knowledge base
The above data is stored in a MySQL database on our Taipei-based server, and is used to:
- Help Satsuma team members understand the context of your needs for accurate follow-up
- Identify gaps in Xiao-Ai's answers to improve the knowledge base
- Send a conversation summary to a Satsuma team member via Telegram when you click "Talk to a human" or when Xiao-Ai detects a handoff is needed
Once conversations are forwarded to Telegram, they are subject to that platform's message retention policy. Conversation records in our database are kept for at least 12 months to support follow-up, and you may request deletion of your conversation records and identifying information via the contact details below.
Xiao-Ai is powered by a language model deployed locally on our server.Conversation content is not sent to third-party inference platforms such as OpenAI or Anthropic.。
04 Third-party services
This website uses the following third-party services to operate:
- Google Fonts(Font resources) — When you visit a page, your browser requests font files from fonts.googleapis.com and fonts.gstatic.com, which may allow Google to log your IP and User-Agent.
- Telegram(Notification delivery) — Contact form submissions are sent to our internal channel via the Telegram Bot API.
These services have their own privacy terms, which we recommend you also review.
05 Data retention
The retention of form content within Telegram follows that platform's message retention policy. Server access logs are cleared automatically via routine rotation (typically 7–30 days). If you would like us to delete a form submission we have received, please email the contact address below and we will process the request within a reasonable timeframe.
06 Security measures
- Site-wide HTTPS (TLS) encryption in transit
- Rate limiting and bot detection (honeypot) on the contact form
- Form endpoint accepts requests only from this domain (CORS-restricted)
- Notification tokens are stored as server environment variables and never exposed publicly
07 Your rights
Under Taiwan's Personal Data Protection Act, you may exercise the following rights regarding the personal data you have provided:
- Inquire about and request access
- Request a copy
- Request supplementation or correction
- Request that we stop collecting, processing, or using the data
- Request deletion
